Usage & Cost Tracking

The Usage page tracks how many calls and minutes your agency is consuming, broken down by agent, client, and time period. Use it to monitor spending, identify cost drivers, and plan your budget.

Accessing Usage Data

Navigate to Analytics → Usage in the sidebar.

Key Metrics

At the top of the page, you will see summary metrics for the current billing period:

Usage Chart

A chart shows your usage over time, with toggles to view by:

  • Day — Daily call volume and minutes
  • Week — Weekly aggregations
  • Month — Monthly totals

The chart helps you spot trends and predict future usage.

Breakdowns

Per-Agent Breakdown

A table showing usage metrics for each agent:

  • Agent name
  • Number of calls
  • Total minutes
  • Total cost
  • Average call duration

Sort by any column to find your highest-volume or most expensive agents.

Per-Client Breakdown

Agency admins can view usage grouped by client:

  • Client name
  • Number of agents
  • Total calls across all of the client’s agents
  • Total minutes
  • Total cost

This is especially useful for agencies that bill clients based on usage.

Understanding Costs

BuildVoiceAI costs have three components:

1. Voice Provider Charges

These are the per-minute fees charged by your selected voice provider. Rates vary by provider and configuration:

  • Retell AI — Varies based on the voice model and telephony configuration
  • Vapi — Varies based on the model and provider plan
  • Bland.ai — Varies based on the voice and features selected

These rates are set by the provider, not by BuildVoiceAI. Check your provider’s pricing page for current rates.

2. Platform Per-Minute Rate

BuildVoiceAI charges a per-minute platform fee on managed plans:

  • Managed plans — $0.15 per minute
  • Self-hosted / BYOK plans — No platform per-minute fee (included in the subscription)

The platform fee covers call orchestration, recording, transcription, sentiment analysis, and summary generation.

3. AI Analysis (Optional)

If you use AI Insights, there is an additional charge of $0.01 per call analyzed. This is only incurred when you explicitly generate an insights report.

Exporting Usage Data

To export your usage data:

  1. Go to Analytics → Usage
  2. Click Export in the top right
  3. Choose the format (CSV)
  4. The file will download with a breakdown of every call, including timestamps, agent, duration, and cost

Exported data is useful for client invoicing, internal reporting, or importing into spreadsheet tools.

💡

If you manage multiple clients and bill them for usage, set up a monthly routine: export usage data at the end of each billing period, filter by client, and use the per-client totals for invoicing.
